Per-instance AI
Serves patients 24/7 answering hours, address, insurance and rescheduling requests, and passes to the front desk only what needs a human. Configurable with the clinic's tone and rules.
For clinics and medical practices
An empty chair is lost revenue: patients who don't confirm, forget, or reschedule at the last minute wreck your calendar. Automate confirmations, reminders and follow-ups on WhatsApp without relying on the front desk typing them one by one.
High no-show rate: the patient books, doesn't show up, and the slot sits idle because nobody confirmed the day before
A swamped front desk answering the same 'what time is my appointment?' and 'how do I reschedule?' all day long
Returning patients who vanish: they finished treatment and were never invited back
A calendar full of gaps because last-minute cancellations are never offered to the waitlist
The clinic's number goes down or gets blocked in the middle of a reminder batch and the front desk is left without WhatsApp
Patient health data moving through conversations with no control over who accessed it, who sent it and where it was recorded
The day before the appointment, the system sends the confirmation message. The patient replies YES or NO and the reply lands on your webhook to update the calendar automatically.
On the morning of the appointment, a reminder with the address and instructions goes out. If the patient cancels, the Marketer notifies the waitlist that a slot opened up, so no chair stays empty.
The per-instance AI understands 'I need to reschedule', 'where are you located', 'which insurance plans do you accept' and handles them on its own. It only passes real cases to the front desk.
Once treatment ends, the Marketer schedules the follow-up message for the right moment: a 6-month check, a post-visit follow-up, an annual check-up campaign.
What to use
The ZapZap modules that solve exactly the pain points of this scenario.
Serves patients 24/7 answering hours, address, insurance and rescheduling requests, and passes to the front desk only what needs a human. Configurable with the clinic's tone and rules.
Schedules the day-before confirmation, the same-day reminder and the follow-up recall in batches, with delays and non-standard sending patterns to lower the risk of blocking during a big wave of messages.
Automatic typing indicator, variable intervals and chip warm-up in a community keep the clinic's number more stable when reminder volume rises. It lowers the risk of the number dropping in the middle of the day's appointments.
Connects the patient's reply (confirmed, cancelled, wants to reschedule) straight to your scheduling or patient record system, with no receptionist copying statuses by hand.

Health data is sensitive personal data under LGPD (Brazil's data protection law). The clinic is the data controller: collect the patient's explicit consent for WhatsApp contact, minimize clinical information in confirmation and reminder messages, and keep a record of what was sent. ZapZap acts as the technical intermediary for sending; it does not define the contact base or the content.
You schedule the automatic confirmation 24h before and the same-day reminder through the Marketer. The patient replies YES or NO and that reply can land directly in your scheduling system via webhook. Fewer forgotten visits and fewer empty chairs, without the front desk messaging people one by one.
Health data is sensitive data under LGPD, so handle it with extra care. Send reminders and confirmations with the minimum necessary (name, date, time) and avoid detailing the diagnosis or procedure in the message. Collect the patient's consent to be contacted on WhatsApp and keep a record of who sent what. Responsibility for the content and the contact list lies with the clinic, as data controller.
No. ZapZap API uses managed WhatsApp instances (unofficial), so you connect the clinic's own number by scanning a QR code, with no Meta approval process and no pre-approved template for every message. That gives you more freedom with the wording of confirmations and reminders.
Any high-volume sending carries risk. That is why there is an anti-block module (automatic typing indicator, variable intervals, non-standard sending) and chip warm-up through Family. This lowers the risk of blocking, but no tool can guarantee the number will never go down. We recommend warming up the number before sending in batches.
