CRM integration
Integrate WhatsApp with Pipedrive
Pipedrive is a sales CRM organized by pipeline, where each deal moves through stages until closing. The integration with ZapZap API connects this flow to WhatsApp: using Pipedrive's Automations and Webhooks modules, every stage change fires a request to ZapZap API, which sends the message from your number. ZapZap API is an unofficial, instance-based WhatsApp API, with its base at https://api.zapzapapi.com and authentication by x-api-key and x-api-secret. The model is prepaid, R$15 per active number per month, with a welcome credit when you create the account, subject to the current campaign, so you can run your tests.
Why connect
A sales team wants the lead to receive an automatic WhatsApp message as soon as the deal enters the "Proposal sent" stage, and another message when it reaches "Negotiation". Instead of the salesperson having to remember to write manually, the Pipedrive Automation detects the stage change and calls ZapZap API, which sends the right message at the right time. This speeds up follow-up, standardizes communication and keeps the deal warm without repetitive manual work.
Step by step
- 1
Activate a number in ZapZap API
In the ZapZap API dashboard, create an instance, scan the QR Code in the WhatsApp on your phone to connect and copy the api_key and the api_secret. Also save the instanceId, which you will use in the request URL.
- 2
Open Automations in Pipedrive
In Pipedrive, go to the side menu and click Automations. Click Create automation and start from scratch to build the trigger and the action.
- 3
Configure the stage change trigger
Choose the Deal updated trigger and add the condition Stage was changed to, selecting the pipeline stage that should trigger the WhatsApp message, for example Proposal sent.
- 4
Add the HTTP webhook action
As the action, choose Send HTTP request (webhook). Set the method to POST, enter the ZapZap API URL with your instanceId, add the x-api-key and x-api-secret headers and build the JSON body with the contact's number and the message text, using deal fields as variables.
- 5
Activate and test with a real deal
Save and activate the automation. Move a test deal to the configured stage and confirm that the message arrived on WhatsApp. Adjust the text and the conditions to fit your sales funnel.

Frequently asked questions
Do I need the official WhatsApp API to integrate with Pipedrive?
No. ZapZap API works through unofficial WhatsApp instances, connected via QR Code. You do not need to go through the official API approval or register templates to start sending messages from Pipedrive Automations.
How does Pipedrive send the message when the deal changes stage?
You create an Automation with the Deal updated trigger and the stage changed condition. In the Send HTTP request action, Pipedrive calls ZapZap API with POST, the authentication headers and the JSON body containing the number and the text. ZapZap API delivers the message from your connected number.
How much does it cost to keep this integration running?
ZapZap API charges R$15 per active number per month, on the prepaid model, and offers a welcome credit when you create the account, subject to the current campaign. Pipedrive's cost depends on the plan you hire, since the HTTP request action in Automations is available from certain plans onward.
Can I use deal data in the message text?
Yes. In the request body inside the Pipedrive Automation, you can insert deal and contact fields as variables, for example the customer's name, value and deal title, personalizing each message sent through ZapZap API.
Where do I see the exact reference for ZapZap API endpoints?
The up-to-date reference of endpoints, fields and formats is at https://api.zapzapapi.com/llms.txt. Check that file before building the request body to make sure the route and the parameters are correct.
