Task automation
Integrate WhatsApp with ClickUp
ClickUp is a task and project management platform where teams organize work in Spaces, Folders, Lists and tasks with statuses, due dates and assignees. It includes an Automations engine and webhook support that let you react to task events in real time. The idea of this integration is to connect those events to WhatsApp using ZapZap API, an unofficial, instance-based WhatsApp API. That way, every relevant change on your board can become an automatic WhatsApp message to your team or your client, without anyone having to keep an eye on the dashboard.
Why connect
An agency manages client deliverables in ClickUp. Whenever a task enters the status "Client approval", an Automation calls a webhook that sends, through ZapZap API, a WhatsApp message to the client saying there is something to review. When the task changes to "Done", the project manager receives a WhatsApp confirmation with the task name. Tasks that pass their due date also fire an alert in the operations group. The result is less manual chasing, faster client replies and a team that knows how things are going without opening ClickUp.
Step by step
- 1
Create your WhatsApp instance on ZapZap API
Go to the dashboard at app.zapzapapi.com, create an instance and scan the QR Code with the phone that will send the messages. Keep the account's instanceId, x-api-key and x-api-secret. Each active number costs R$15 per month on the prepaid model, and you start with a welcome credit when you create the account, subject to the current campaign.
- 2
Build an intermediate endpoint to receive the webhook
ClickUp fires webhooks in its own format. Create a simple endpoint (for example in a serverless function or n8n) that receives the ClickUp payload, extracts the task name and status and then calls ZapZap API with your x-api-key and x-api-secret headers.
- 3
Open Automations in ClickUp
Inside a Space, Folder or List, click the Automate button in the top right corner and choose Create Automation. You can also manage everything under Settings and then Automations.
- 4
Configure the trigger and the Call webhook action
Under When (trigger) choose something like Status changes or Due date arrives. Under Then (action) select Call webhook, paste the URL of your intermediate endpoint and save. On every event, ClickUp will send the task data to that URL.
- 5
Test and activate in production
Move a test task to the configured status and confirm the message arrives on WhatsApp. Adjust the text in your endpoint and replicate the Automation for other statuses or Lists as your team needs.
Example
// ILLUSTRATIVE example. Check the real fields at https://api.zapzapapi.com/llms.txt
// Call made by your intermediate endpoint after receiving the ClickUp webhook
const res = await fetch(
"https://api.zapzapapi.com/api/v1/{instanceId}/send/text",
{
method: "POST",
headers: {
"Content-Type": "application/json",
"x-api-key": process.env.ZAPZAP_API_KEY,
"x-api-secret": process.env.ZAPZAP_API_SECRET,
},
body: JSON.stringify({
number: "5511999999999",
text: "A task changed status in ClickUp: please review when you can.",
}),
}
);
Illustrative. The exact fields and endpoints are in the documentation.
Frequently asked questions
Do I need the official WhatsApp API to integrate with ClickUp?
No. ZapZap API works with unofficial WhatsApp instances. You scan a QR Code with the number that will send the messages and can start firing from ClickUp events right away, with no Meta approval process.
Can ClickUp call ZapZap API directly?
The recommended approach is an intermediate endpoint. ClickUp's Call webhook action sends the payload in its own format, so a small service translates that data and makes the final call to ZapZap API with the x-api-key and x-api-secret headers.
Which ClickUp events can I use as a trigger?
ClickUp Automations cover status changes, due dates approaching or overdue, assignee changes, task creation, comments and more. Any of these can become a WhatsApp message.
How much does it cost to keep this automation running?
On the ZapZap API side, the cost is R$15 per active number per month, on the prepaid model, with a welcome credit when you create the account, subject to the current campaign. ClickUp is billed separately under its own plan, and Automations have limits per plan.
How do I find the exact endpoint and sending format of ZapZap API?
Check the always up-to-date reference at https://api.zapzapapi.com/llms.txt. It has the correct paths, headers and fields for sending text, media and other message types.
