CRM integration

Integrate WhatsApp with Zoho CRM

ZapZap API is an unofficial, instance-based WhatsApp API, each instance connected to a real WhatsApp number. You provision the number, authenticate calls with the x-api-key and x-api-secret headers on the base https://api.zapzapapi.com and start sending messages programmatically. Zoho CRM has no native per-instance WhatsApp sending, so the bridge is built with Webhooks triggered by Workflow Rules: when a record changes, Zoho calls ZapZap API and the message goes out from your number. The model is prepaid, R$15 per active number per month, with a welcome credit when you create the account, subject to the current campaign, so you can test before going to production.

Why connect

The most common case is notifying the lead at each step of the sales funnel. Imagine a Deals pipeline with the stages Qualification, Proposal Sent and Closing. When a salesperson drags the card to Proposal Sent, a Workflow Rule fires a Webhook to ZapZap API and the customer receives on WhatsApp a confirmation that the proposal was sent, with a link to check it. The same goes for a meeting reminder when a task is scheduled, a welcome message when a Lead is created or a recovery message when a Deal stalls in a stage. Everything fires on its own, straight from the natural movement the team already makes inside Zoho, with nobody copying numbers and typing messages by hand.

Step by step

  1. 1

    Provision the number on ZapZap API

    In the ZapZap API dashboard, create an instance, connect your WhatsApp by scanning the QR Code and copy the x-api-key and x-api-secret credentials along with the instance ID. These go in the Webhook's header and URL.

  2. 2

    Open Workflow Rules in Zoho CRM

    Click the gear icon (Setup) at the top, go to Automation and then Workflow Rules. Click Create Rule and choose the module, for example Deals or Leads.

  3. 3

    Define the stage change trigger

    Under When do you want to execute this rule, choose Edit and check the field condition, for example Stage is Proposal Sent. That way the rule runs every time the Deal's stage is updated to that value.

  4. 4

    Create the Webhook as an instant action

    Under Instant Actions, choose Webhooks and click New Webhook. Method POST, URL https://api.zapzapapi.com/api/v1/{instanceId}/send/text, add the x-api-key and x-api-secret headers and build the JSON body using Zoho merge fields for the number and the text.

  5. 5

    Associate, save and test

    Link the Webhook to the rule, save and move a test Deal to the configured stage. Confirm the delivery on WhatsApp and check the response under Setup, Webhooks to validate the 200 status.

Example

// ILLUSTRATIVE example of the body sent by the Zoho Webhook to ZapZap API
// Confirm the current route, fields and format at https://api.zapzapapi.com/llms.txt

POST https://api.zapzapapi.com/api/v1/{instanceId}/send/text
Headers:
  x-api-key: YOUR_API_KEY
  x-api-secret: YOUR_API_SECRET
  Content-Type: application/json

Body:
{
  "number": "5511999999999",
  "text": "Hi ${Deals.Contact Name}, your proposal has been sent. If you have any questions, just reply here."
}

Illustrative. The exact fields and endpoints are in the documentation.

Frequently asked questions

Do I need the official WhatsApp API to use it with Zoho CRM?

No. ZapZap API is an unofficial, instance-based API, so you connect a regular WhatsApp number by scanning the QR Code, with no template approval process. The bridge with Zoho is built with the Webhooks of Workflow Rules.

How do I make the message fire when the Deal stage changes?

Create a Workflow Rule on the Deals module with an Edit trigger, conditioned on the Stage field. When a record enters the chosen stage, the rule runs the Webhook Instant Action that calls ZapZap API.

Can I use the lead's data in the message?

Yes. In the Webhook body you use Zoho merge fields, such as contact name, phone number and Deal amount, building the text dynamically for each record that triggers the rule.

How much does it cost and how does billing work?

The model is prepaid, R$15 per active number per month. You get a welcome credit when you create the account, subject to the current campaign, so you can test the Zoho integration before going to production, and you only keep active the numbers you actually use.

Where do I confirm the exact endpoint and API fields?

The snippet on this page is illustrative. Always check the current route, the authentication headers and the body format at https://api.zapzapapi.com/llms.txt before setting up the Webhook in production.
