Work management automation

Integrate WhatsApp with monday.com

monday.com is a work management and CRM platform where teams organize projects, sales funnels and processes in boards with status columns. The integration with ZapZap API connects those boards to WhatsApp: whenever an item changes status, a monday webhook triggers a message sent through your WhatsApp instance. ZapZap API is an unofficial, instance-based WhatsApp API that you control from your backend with the x-api-key and x-api-secret keys, without depending on the official WhatsApp Business.

Why connect

Picture a sales funnel in monday.com. When a lead moves to the status "Proposal sent", the customer receives a WhatsApp message with the proposal summary. When it changes to "Closed", the welcome message and next steps go out. The same applies to support, onboarding and billing: every column change becomes an automatic WhatsApp notification to the contact, with nobody copying and pasting messages. The team works only on the monday.com board and the communication happens on its own.

Step by step

  1. 1

    Create your instance and get the keys

    On ZapZap API, create a WhatsApp number (R$15 per active number/month, prepaid, with a welcome credit when you create the account, subject to the current campaign), scan the QR Code to connect and note down the instanceId, the x-api-key and the x-api-secret in the dashboard.

  2. 2

    Prepare an intermediate endpoint

    monday.com sends a webhook to a URL but does not format the final call. Set up your own endpoint (backend, n8n or Make) that receives the monday webhook and calls ZapZap API with your keys. This endpoint turns the status change into a WhatsApp message.

  3. 3

    Enable the Webhooks integration on the board

    Open your board in monday.com, click the Integrate button in the top right corner, search for Webhooks in the integrations center and select the Webhooks app.

  4. 4

    Configure the automation recipe

    Choose the recipe 'When a status changes, send a webhook'. Select the status column that triggers the sending and paste the URL of your intermediate endpoint into the webhook field.

  5. 5

    Test by changing an item's status

    Move a test item to the configured status. monday.com fires the webhook, your endpoint calls ZapZap API and the message goes out on WhatsApp. Check the delivery and adjust the message text in your endpoint.

Example

// ILLUSTRATIVE example: your endpoint receives the monday.com webhook
// and calls ZapZap API to send the message on WhatsApp.
// Check exact endpoints and fields at https://api.zapzapapi.com/llms.txt

const instanceId = "YOUR_INSTANCE";

await fetch(`https://api.zapzapapi.com/api/v1/${instanceId}/send/text`, {
  method: "POST",
  headers: {
    "Content-Type": "application/json",
    "x-api-key": process.env.ZAPZAP_API_KEY,
    "x-api-secret": process.env.ZAPZAP_API_SECRET
  },
  body: JSON.stringify({
    number: "5511999999999",
    text: "Your item moved to 'Proposal sent'. Any questions, I'm here!"
  })
});

Illustrative. The exact fields and endpoints are in the documentation.

Frequently asked questions

Do I need the official WhatsApp Business API to use it with monday.com?

No. ZapZap API is an unofficial, instance-based solution. You connect a number by scanning the QR Code, like WhatsApp Web, and integrate it with monday.com via webhook. There is no Meta approval process or template verification.

Can monday.com call ZapZap API directly, without an intermediary?

The ideal is to use an intermediate endpoint (your backend, n8n or Make). monday's native webhook sends its own payload, and the intermediary translates that payload into the format ZapZap API expects, and also keeps your x-api-key and x-api-secret keys safe instead of exposing them.

How much does it cost to keep this integration running?

ZapZap API costs R$15 per active WhatsApp number per month, on the prepaid model, with a welcome credit when you create the account, subject to the current campaign, so you can test first. monday.com automations and webhooks are part of your monday plan, at no additional cost from ZapZap.

Can I send a different message for each status?

Yes. Just create one webhook recipe for each status column in monday.com, or handle the different statuses inside your intermediate endpoint, choosing the right text for each funnel stage before calling ZapZap API.

Can the message include data from the monday.com item?

Yes. The monday.com webhook sends item information, such as name, phone number and column values. Your endpoint reads those fields and builds the personalized text that goes in the body of the call to ZapZap API.
